Report submission

As a Postgraduate Researcher, you are expected to produce reports, attend meetings, and pass viva examinations in order to progress. The GRAD system is used for the submission and recording of these reports, and arranging meetings. The content of your report should be discussed with your supervisor.

Remember: whenever you start a progression action, you will be able to follow the workflow within the GRAD system.  This will allow you to see if your progression is held up at any point, or who it’s with at any given time.

End of Month 6: First Formal Progress Report

  • Select the "First Formal Progress Report" button on your project page.  You will be asked to confirm that your project details are correct; if they are not correct, contact your SES PGR Support Officer.
  • Go through the online form, completing the sections as required, and submit your written report BEFORE you press "Save and continue".
  • Click the "Save for later" button if you want to save what you’ve written and return to it at a later date.
  • You can raise any issues you have through this report if you wish to do so.  Notification will be sent to the SES PGR Support Officer and the PGRT.
  • Once you click "Confirm: Submit report" your report will be closed and a notification sent to your supervisor. 
  • Your supervisor will read your report, and submit their own report on your progress.  You will receive a confirmation email once this is complete.
  • If you are unhappy with any of the comments made by your supervisor you may "Add follow-on note" by returning to your completed report.
  • And finally, discuss and agree the membership of your Transfer Panel with your supervisor at your next meeting.  This information should be forwarded to your School SES PGR Support Officer as soon as possible.


End of Month 10: Transfer Stage

  • As with the previous stage, click on the "Transfer" button, and confirm your project details.  Make sure you read the information page before starting your pre-transfer progress report.
  • Go through the online form, completing the sections as required, and submit your written report as directed.  You again have the opportunity to notify the PGRT and SES PGR Support Officer of any issues you may be having.
  • Once you click "Confirm: Submit" your report will be closed and a notification sent to your supervisor. 
  • Your Supervisor will confirm the membership of your Transfer Panel, and add the date of your viva to the system.  It is important that if there any changes GRAD is updated.
  • Once you have attended your viva, the Chair of the Transfer Panel will inform you of the outcome and confirm it through GRAD.
  • The PGRT will be asked to approve the outcome of your Transfer viva
  • You will receive an email once all stages are complete and, depending on the outcome of your viva, you will receive notification from the School that you can reregister for the following year.


End of Month 22: Annual Progress Review

  • Click on the "Annual Progress Review" button, and confirm your project details.  Make sure you read the information page before starting your annual progress report.
  • Go through the online form, completing the sections as required.
  • In the last section, you should upload your written report:
    1. Either a short research paper (draft or recently published), or a reflection on progress to date; this might include completed chapters / laboratory work, and conference attendance;
    2. A submission plan for the final Thesis  (maximum one side of A4) to include:
      • A description of the research to be completed
      • Project risks/ mitigation
      • A statement of their confidence of submitting on time
      • A thesis plan (maximum one side of A4) outlining the chapters and sub-headings
  • Your Supervisor will confirm the date of your review meeting, and who the Independent Assessor will be into GRAD.
  • Once you have attended your review meeting, the Independent Assessor will inform you of the outcome and confirm it through GRAD.
  • The PGRT will be asked to approve the outcome of your Annual Progress Review.
  • You will receive an email once all stages are complete and, depending on the outcome of your review, you will receive notification from the School that you can reregister for the following year.


End of Month 34: Annual Progress Review (if necessary)

  • Registration for Year 4 is only necessary for those not submitting by the end of their 3rd year.  
  • If you do need to re-register, you will need to repeat the Annual Progress Review (see above).
  • Please ensure that you include an updated thesis plan and timeline.

 

As your Supervisors and Assessors will have actions following the submission of your reports, please ensure that you complete your actions in good time. See your Handbook or contact the School SES PGR Support Officer for more details.
